UF in Madrid Application Checklist

It is strongly recommended that you discuss options with a Heavener International Programs advisor prior to selecting a program. Once you have chosen your specific program, follow the steps below.

Complete the following steps by the application deadline:

  • Open an application
    • Go to Study Abroad in Spain and click the “Apply Now” button. Login using your GatorLink username. Select desired term and click “Apply.”
    • You may begin filling out the Questionnaires (including the Budget Worksheet) and Signature Documents or otherwise wait until after your appointment with a Heavener School of Business International Programs advisor (see below).
  • Meet with a Heavener School of Business International Programs advisor
    • Call 352-273-0151 to set up an appointment.
    • During this appointment, the Academic Advising Form will be filled out, where you will make preliminary course selections. You will also have your photo taken. If time permits, the Budget Worksheet will be discussed. You may wish to set up an additional appointment to go over the Budget Worksheet further, if needed.
  • Finish application
    • Return the completed Academic Advising Form.
    • Ensure all Questionnaires and Signature Documents are complete on the online application.
    • Pay $425 non-refundable deposit via the online application.

At this stage, your application will be reviewed by the Heavener International Programs office and UF International Center. If your application is approved, you will have additional tasks to complete prior to departure (see Post-Approval section).

Complete the following tasks after your application is approved. A more detailed version of this checklist with dates and deadlines will be sent to you upon approval.

  • Attend the First Meeting
    • This meeting is mandatory. You will meet the rest of the students on the program, all of the post-approval tasks will be reviewed, and other important updates will be shared.
  • Photo
    • Upload a photo to your UF study abroad application profile.
    • The photo should follow passport-style guidelines: posed against a white wall, relatively close up, no hats, no selfies, no significant shadows.
  • Passport Information
    • Complete the questionnaire on your UF study abroad application online. The passport upload should be a color scan of the data and signature pages.
    • The passport must be signed and valid at least six months after your expected return date.
    • Non-U.S. citizens should also upload a copy of their visa for the U.S.
    • Applicants may be withdrawn if they are unable to obtain a passport accordingly.
  • Internship Placement (Study & Intern program only)
    • Complete the Internship Placement Materials questionnaire on your UF study abroad application online. You will select areas of interest for your internship. You will also provide a brief statement of interest (written in Spanish) and a copy of your resume (strongly recommended to upload a copy in Spanish as well).
    • The internship coordinator at Nebrija will send you further information about what other information and/or interviews may be needed for internship placement.
    • Your placement will be confirmed soon after your arrival in Spain.
  • Spanish Placement Test
    • Complete the Spanish Placement Test. The test will consist of two parts: a written level exam and a virtual oral exam. Students will receive credentials from Nebrija to log in to Nebrija’s Campus Virtual platform to complete the test. Students will also receive a request to schedule a virtual oral exam. Internship students will conduct their interview with the Internship Coordinator during this period. Please monitor your UF email account for this information.
  • Obtain a Visa (Spring and Fall Programs Only)
    • Follow the instructions provided by the UF International Center. Instructions should be sent within roughly a month of the UF study abroad application deadline. The Heavener International programs office does not oversee this process.
    • The Heavener International Programs office will send a copy of your official acceptance letter directly to the UF International Center. If you plan to obtain the visa yourself instead of utilizing the UF International Center’s services, please contact Heavener International Programs for your acceptance letter.
  • Accommodation/Roommate Preference
    • Complete the questionnaire on your UF study abroad application online to select your accommodation type.
    • Once you make this selection, it cannot be changed due to logistics and billing.
    • If you indicate that you plan to live in an apartment facilitated through the program, you will see additional questions appear where you can choose a roommate or otherwise specify what type of people you prefer to live with.
    • If you indicate that you plan to live in an apartment facilitated through the program, the Heavener International Programs office will assign you to an apartment. You will be notified well prior to departure.
  • Housing Waiver
    • Complete the questionnaire on your UF study abroad application online.
    • If you indicate that you plan to locate your own housing, additional questions appear where you will need to submit the address at which you will be living, information about roommates (if known), and a waiver.
  • Homestay Placement (Homestay Students Only)
    • Nebrija’s homestay coordinator will send you further information about documents needed for homestay placement.
    • Your placement will be confirmed prior to departure.
  • Clear Registration Holds
    • The Heavener International Programs office will register you for your chosen UF online business courses, as there are special sections reserved for study abroad students.
    • Do not register yourself, add, drop, or change any courses without notifying the Heavener International Programs office.
  • Flight Information
    • Complete the questionnaire on your UF study abroad application online.
    • Refer to the program website for arrival and departure dates. Always double-check with the Heavener International Programs office prior to booking if you are unsure about the flight.
  • Attend the Pre-Departure Session
    • This session is mandatory and will cover important information and details specific to the program.
  • Attend the Study Abroad Survival Session
    • This session is mandatory and will cover general pointers about how to navigate a semester abroad.
  • Laptop Check
    • Have your laptop checked by the Technology Assistance Center (HVNR 206).
    • Call 352-273-0248 for an appointment or go as a walk-in.

Note that scholarships have different requirements, deadlines, and notification dates. Some require an open study abroad program application, some require an approved study abroad program application, etc.
